Debtor Chase

“We invoice on 30 days and get paid on 60. Nobody wants to be the person who phones.”

Invoice and debtor automation that drafts follow-ups in your voice and stops when payment lands.

What we build

How this automation runs.

A nightly job reads the aged-debtors list from the books. Each overdue invoice moves along a chase ladder you agree once: a friendly nudge, then a firmer note with a statement, then escalation to the owner. AI drafts each message in your tone, using the real invoice numbers, amounts and any “we'll pay Friday” promise already in the email thread. Drafts wait in an approval queue (one tap to send, edit or skip). The ladder stops itself when payment lands. A weekly summary covers promises made, promises broken and days saved.

Typical build size: Medium. How we deliver — audit, sandbox, shadow mode, then go-live with approvals.

Who it's for

A good fit if this is your week.

  • Construction subcontractors
  • Logistics and freight
  • Professional services
  • Wholesale and distribution
  • Facilities and cleaning companies
  • Private schools (fees)

Questions

About Debtor Chase

Does it send without me?+

Not by default. Every chase is drafted for approval. You can later switch low-risk steps to automatic if you choose.

Which accounting systems?+

Xero, Sage Business Cloud and QuickBooks via their APIs. Older desktop products may need an export — we confirm in the audit.

What if a customer replies?+

Promises and replies are detected and logged. The ladder adjusts, and unclear or angry threads go to a person.

Pick the job everyone avoids. We'll start there.
